This is not a 22KB ZIP purchase. The paid service is an async column mapping and first-run readiness review for buyers who need help turning their exports into a useful duplicate-payment and payment-run hold-list workflow.

What the buyer is paying for

The service reviews your safe intake files, maps columns to duplicate-payment checks, and sends a short first-run note that says what is ready, what is partial, and what is blocked.

Async mapping Match your CSV headers to vendor identity, invoice/reference, amount, date, status, approval, and vendor master fields where available.
First-run readiness review Confirm which rules can support a useful hold list before vendor payments are released.
Gap list when blocked If the files cannot support useful checks, the deliverable names missing headers and the next safe export to request.

Status PARTIAL READY

The sample exports are ready for duplicate-payment and hold-list mapping, but not ready for final exception logic until approval and vendor-master fields are available.

Ready

  • Duplicate vendor + invoice/reference + amount checks.
  • Repeated payment amount to the same vendor in the same run.
  • Missing invoice/reference checks.
  • Basic hold-list output with reason codes and review notes.

Partial

  • Invoice-to-payment matching can start, but reference formatting needs confirmation.
  • Payment-before-due-date checks need date-format confirmation.
  • Status filtering needs confirmation of what Scheduled means in your AP system.

Blocked

  • Approval timing checks need approval status or approval timestamp fields.
  • Vendor risk checks need vendor status, vendor type, or last bank-change date.
  • Final exception logic waits until the missing export fields are confirmed.

Start with safe data only

The setup service is designed to begin with header-only, fake, or redacted rows. Do not send real private financial records for the first pass.

OK for first pass

  • Column headers from real exports.
  • Fake rows with realistic formatting.
  • Redacted rows where names, references, bank details, and identifiers are removed or replaced.
  • Rounded or fake amounts for structure testing.

Do not send by default

  • Raw private finance records, live bank exports, or vendor bank details.
  • Tax IDs, payroll data, customer personal data, or payment-card data.
  • Credentials, API keys, OTPs, or ERP/bank login access.

Sample values are header-only, fake, or redacted. The real deliverable uses the buyer's safe column structure, not raw private AP rows.

What may be requested next

When coverage is partial, the note asks for the smallest safe export that can unblock the review.

  1. Header-only vendor master export with vendor_id, vendor_status, vendor_type, and last_bank_change_date if available.
  2. Header-only approval export with invoice_number, approval_status, approval_timestamp, and approver_role if available.
  3. Fake-row payment run export that keeps the same column structure but replaces names, references, amounts, and IDs.

Not a fit for this service

This setup service stops at mapping and first-run readiness. It does not perform payment execution, audit certification, or private-data processing without a separate agreement.

  • OCR from PDFs or scanned invoices.
  • Direct login to QuickBooks, Xero, Bill.com, Ramp, Melio, NetSuite, bank portals, or ERPs.
  • Payment approval, payment release, or payment automation.
  • Legal advice, tax advice, audit assurance, or a guarantee that every duplicate or fraud case will be found.
